Privacy policy for the website of the World Players Association

Your online privacy is important to the World Players Association. This policy governs all pages hosted by the World Players Association. It does not apply to pages hosted by other organisations, including our affiliates, which have their own privacy policies.

The type and amount of information received and stored by the World Players Association depends on how you use the website or other World Players Association-related services. How does the World Players Association use the information?

None of this data is used for profiling or automated decision-making.

a) Voluntary Website Data – the legal basis for the processing of this personal data is, depending on the circumstances:

  • Performance of a contract: Necessity for the performance of an agreement with you and/or for any pre-contractual obligations in connection therewith.
  • Legitimate interests: The legitimate interests pursued by the World Players Association, including ensuring that the enquiries of website users are answered.

b) Automatic Website Data – the legal basis for the processing of this personal data is the legitimate interests pursued by the World Players Association, including in respect of the security and performance of the website

c) Third Party Data – the legal basis for the processing of this personal data is, depending on the circumstances:

  • Performance of a contract: Necessity for the performance of an agreement with you and/or for any pre-contractual obligations in connection therewith.
  • Legitimate interests: The legitimate interests pursued by the World Players Association, including in corresponding with members and other prospective users of World Players Association services.

d) Event Media Data – the legal basis for the processing of this personal data is the legitimate interests pursued by the World Players Association, including in documenting and promoting our events, activities, and mission

We are committed to ensuring that your information is secure. In order to prevent unauthorised access, alteration or disclosure, we have put in place suitable physical, electronic and managerial measures to safeguard and secure the information we collect online.

Secure hosting environment 
No public access to raw logs or databases
No sale or commercial reuse of personal data 

Our website is hosted by DigitalOcean. DigitalOcean has the following security measures in place:

Infrastructure is managed by authorised technical personnel
Access is restricted through appropriate security controls
 

With whom may the World Players Association share the data?

As a general rule, the World Players Association will not disclose any information identifying you personally, except with your permission or where required by law.

Some information identifying website users is forwarded to third parties for purely technical and administrative processing. These trusted service providers (e.g. hosting and analytics providers) will act as data processors under GDPR-compliant agreements. Other information may be shared with a third party as required to provide a requested service or, in the case of Event Media Data, be shared with media outlets and members for the promotion of the World Players Association and with sponsors and partners for their own promotional purposes. 

None of these third parties are authorized to sell or rent user information.

International data transfers

Personal data may be processed outside the EU/EEA due to:

  • Hosting infrastructure location
  • Email communications with service providers or contractors outside the EU/EEA
     

Where personal data is transferred outside the EU/EEA, appropriate safeguards are applied. Such safeguards include:

  • Standard Contractual Clauses (SCCs)
  • Adequacy decisions
     

Data retention

a) Voluntary Website Data – this personal data is retained only for as long as is necessary to respond to the enquiry and, in any event, for no longer than 12 months

b) Automatic Website Data – this personal data is retained for a limited rolling period aligned with security and operational needs (typically up to 30 days)

c) Third Party Data – this personal data is retained only for as long as is necessary to perform the relevant contract or to respond to enquiries and, in any event, for no longer than 12 months

d) Event Media Data – this personal data is retained generally for up to 5 years from the date of capture, or until no longer relevant for promotional or reporting purposes

Your principal rights under data protection law are:

a) The right to access - the right to access, update or delete the personal data we hold about you. This also enables you to receive a copy of the personal data we hold about you. 

b) The right to rectification - you have the right to have any incomplete or inaccurate information we hold about you corrected.

c) The right to erasure - you have the right to ask us to delete or remove personal data when there is no good reason for us to continue processing it.

d) The right to restrict processing - you have the right to restrict the processing of your personal data in certain circumstances, including when: you contest the accuracy of the personal data; processing is unlawful, but you oppose erasure; we no longer need the personal data for the purposes of our processing, but you require personal data for the establishment, exercise or defence of legal claims; and you have objected to processing, pending the verification of that objection. 

e) The right to object to processing - this right exists where we are relying on a legitimate interest as the legal basis for our processing and there is something about your particular situation, which makes you want to object to our processing of your personal data on this ground.

f) The right to data portability - we will provide to you, or to a third-party you have chosen, your personal data in a structured, commonly used, machine-readable format. Please note that this right only applies to automated information, in respect of which you initially provided consent for us to use or where we used the information to perform a contract with you. 

g) The right to complain to a supervisory authority - if you consider that our processing of your personal information infringes data protection laws, you have a legal right to lodge a complaint with a supervisory authority responsible for data protection.

h) The right to withdraw consent - you have the right to withdraw your consent on using your personal data. If you withdraw your consent, we may not be able to provide you with access to certain specific functionalities of the website.
